Agency Retainer Pricing Calculator

Price a retainer from fundamentals: team hours, blended rate, overhead, risk premium, target margin. The calculator exposes every assumption so you can defend the number in a procurement conversation.
Agency Intelligence
Most retainers are priced by vibes: then margin leaks for 12 months.
A properly priced retainer accounts for billable hours, non-billable time, overhead, platform costs, and a buffer for scope creep. This calculator walks through the full stack and gives you both a floor (break-even) and a target (margin-funded) price. Build in your own blended rates once and reuse the model across every proposal.

Frequently asked questions
How is a retainer different from project pricing?
Retainer = fixed monthly fee for a defined scope + hours. Project = fee tied to deliverables. Retainers smooth revenue but risk scope creep.
How many hours should a retainer cover?
Depends on scope. Senior strategy retainers: 20 to 40 hours. Execution-heavy: 60 to 120. Define hours explicitly in the SOW.
What is a blended rate?
A single rate across all roles involved. Easier to communicate than role-specific rates. Calculated as weighted average by hours.
Should I include overhead in the rate or separately?
Baked into the rate for simplicity. The calculator adds overhead as a percentage of labour cost.
What overhead percentage is standard?
30 to 50% for established agencies. Covers non-billable staff, office, admin, tools, training.
What is a risk premium?
Buffer for scope creep + collection risk. 10 to 20% typically. Higher for first-time clients or complex scopes.
What is utilisation?
The percentage of billable hours billed. Senior roles 65 to 75%. Execution roles 75 to 85%. 100% utilisation is impossible and burns out staff.
What margin should I target?
15 to 25% for traditional agencies. 25 to 40% for boutique consulting. Lower in competitive services, higher in specialised ones.
When should I raise prices?
Annual CPI adjustment at minimum. Material raise when demand exceeds capacity or scope grows.
How to handle retainer overages?
Define a cap in the SOW. Over the cap, trigger a Change Order. Don't absorb overages: margin disappears fast.
Is this tool suitable for freelancers?
Yes. Smaller teams can use the same formula with single-role input. The math is identical at any scale.
